  • Directly from you when you fill in our form, upload documents, or contact us;
  • Automatically through cookies and similar technologies;
  • From third parties, such as payment providers and the UK Home Office's ETA systems (status updates).

7. Sharing Your Data — Especially with the UK Home Office

7.1 UK Home Office

To process your application, we transfer your personal data — including passport scan, photograph, and all answers — to the UK Government's ETA systems operated by the Home Office and UK Visas and Immigration (UKVI).

This transfer is:

  • Essential, because the ETA cannot be issued without it;
  • Outside our control once submitted — the UK Government holds, processes, and retains your data under UK law and its own published policies.

By submitting an application, you understand and accept this transfer. If you do not consent, you must apply directly through the official UK Government portal at https://www.gov.uk/eta.

7.2 Other recipients

  • Payment processors — for secure payment handling;
  • Hostinger — our cloud hosting provider;
  • Email and communication providers (transactional emails);
  • Customer support tools;
  • Google Analytics — for website analytics;
  • Fraud-prevention services;
  • Legal, tax, or accounting advisors under a duty of confidentiality;
  • Authorities and courts where required by law.

We do not sell your personal data.

8. International Data Transfers

In addition to the transfer to the UK Home Office (which is in the UK — covered by an EU adequacy decision), your data may be processed:

  • In the United States, where VISAonlineapply LLC is registered and operated;
  • In other countries where our service providers operate.

For transfers outside the UK / EEA that are not covered by an adequacy decision, we rely on Standard Contractual Clauses (SCCs) and the UK International Data Transfer Agreement / Addendum.

15. Automated Decision-Making

We do not subject you to fully automated decisions that produce legal or similarly significant effects. Human review is involved at the application-checking stage of our Service.

Note, however, that the destination country's government systems (such as automated risk-screening at immigration authorities) may use automated decision-making processes outside our control. Information about those processes is published by the relevant authority on its official portal.

16. Data Minimisation

We collect only the personal data that is necessary to deliver the Service and meet our legal obligations. Where a destination country's official application form does not require a particular field, we do not collect it. Where consent has been provided for marketing or analytics, you can withdraw it at any time.

17. Data Accuracy and Applicant Responsibility

You are responsible for ensuring that all personal data you submit through the UK ETA application is accurate, complete, and truthful. We rely on the information you provide in order to prepare and submit your application. We are not responsible for delays, refusals, or other adverse decisions resulting from inaccurate, incomplete, or misleading information you submitted.

This Privacy Policy forms part of the legal framework governing your use of this service, together with our UK Terms and Conditions and any other policy published on this portal. In the event of any inconsistency between this Privacy Policy and our UK Terms and Conditions, the UK Terms and Conditions shall prevail, unless expressly stated otherwise in this Privacy Policy.
